Presenter Recording Instructions

Dear Speaker,

In case you are unable to attend the Congress in person, please follow the instructions below to ensure proper inclusion of your presentation in the Scientific Programme.

Please read all instructions carefully before recording.

1. Accepted Recording Methods (Mandatory)

ISGE accepts only presentations recorded using one of the following methods:

  • Microsoft PowerPoint – “Record Slide Show” function (strongly recommended)
  • Zoom – Local Recording option

Recordings produced with other software will not be accepted.

Please ensure your final file meets the following requirements:

•⁠ ⁠Format: MP4 (exported from PowerPoint or Zoom)
•⁠ ⁠Resolution: 1920×1080 (Full HD)
•⁠ ⁠Orientation: 16:9 landscape
•⁠ ⁠Duration: strictly according to your allocated speaking time in the programme
•⁠ ⁠Audio: clear microphone recording (no background noise)

Before uploading, please review your recording to verify:

•⁠ ⁠Slides are clearly visible
•⁠ ⁠Audio is synchronized and intelligible
•⁠ ⁠No draft slides or hidden content are visible

Please name your file exactly as follows: 
lastname_hall_day_time.mp4

Where:

Lastname = family name of the presenting author.
Hall = name of the assigned hall (e.g., isge5).
Day = day of the presentation (e.g., march4).
Time = scheduled presentation time (e.g., 1530 for 15:30).

Correct Example: smith_isge5_march4_1530.mp4

If you have two presentations in the same session, name the second file with a -2 at the end: smith_isge5_march4_1530-2.mp4

Please ensure that:

  • No spaces are used: Use only the underscore (“_”) as a separator.
  • The details match the programme: The hall, day, and time must correspond exactly to the official Congress programme.
    Note: If you are unsure about your session details (hall or exact time), you can find them in your personal area on the Congress website.
  • Important: Incorrect file naming may delay technical processing and session integration.

Video Submission for ISGE Congress

The International Society of Gynecological Endocrinology (ISGE), through its Organizing Secretariat, collects and processes personal data contained in the submitted video recordings (including name, professional affiliation, image, voice and any personal data voluntarily included in the presentation) for the sole purpose of organizing and delivering the scientific programme of the ISGE Congress.

The video files will be uploaded via a secure file transfer platform (WeTransfer – Business Account) acting as Data Processor under its applicable Data Processing Agreement and in compliance with GDPR.

The submitted materials will be:

  • accessed exclusively by authorized members of the ISGE Scientific and Technical Team;
  • used solely for inclusion in the official congress programme (onsite and/or online streaming, if applicable);
  • stored only for the time necessary for congress organization and potential post-congress scientific availability (if foreseen in the programme policy).

Speakers are responsible for ensuring that any clinical material included in the presentation is fully anonymized and compliant with applicable privacy regulations.

Speaker Authorization and Release

By submitting the recorded presentation, I hereby:

  1. Authorize the International Society of Gynecological Endocrinology (ISGE) to use, reproduce, and communicate my recorded presentation exclusively within the framework of the 40th ISGE World Congress, including live session playback, streaming (if applicable), and potential on-demand access reserved to registered participants, if foreseen.
  2. Declare that the content of the presentation is original or that I have obtained all necessary permissions for the use of third-party material (images, tables, data, etc.).
  3. Confirm that any clinical data included are fully anonymized and compliant with applicable privacy and ethical regulations.
  4. Acknowledge that no additional remuneration is due for the use of the recorded presentation within the above-described congress context.

This authorization is limited to congress-related scientific use and does not extend to commercial exploitation beyond the event without further written agreement.
